Useful Tools

The Javits Center’s donates items left behind by events to community groups who distribute the items to New Yorkers in need through our JavitsCares program. With our in-house catering company, Cultivated, we donate any leftover food in good condition. We accept most items, however, certain materials such as carpet, vinyl, and perishables (including perishable food and/or cut flowers brought in by exhibitors, independent of Cultivated) will need to be discussed in greater detail.

First, please answer the following questions:

  1. Are you unable to reuse this item at your future events?
  2. Will your item be in good condition after the show? In other words, would you put in your living room?
  3. If it’s a breakable item (such as ceramics, glassware, or electronics), will you pack it safely and securely?
  4. If it’s an electronic or multi-part furniture item, will you include all necessary components so it can be successfully reused?
  5. If it’s a plant, is it potted for easy transport?

If you can answer YES to ALL the above questions, we can find a home for your donation. Please take the following next steps:

  1. Send an image and description of each of your donations to [email protected] so we can get started on finding a new home for your items.
  2. As you’re moving out, be sure to put your donation in a designated location as determined by your point of contact with the show.

FREEMAN (General Contractor) Documents - FREEMAN is the Official General Contractor of NYCC and will maintain a full staff on-site at the Exhibitor Service Center during set-up, show days and dismantling.  All other official show contractors will also be set up in this area as well.  All inquiries regarding booth services and orders should be made at the Exhibitor Service Center, including booth furnishings, labor, freight, utilities, and special show services. Exhibitors who have ordered labor are asked to check-in at this desk when they are ready to install their exhibits.  The person in charge of your exhibit should carefully inspect and sign for all work order forms.

      • Please note that the Freeman Warehouse does not accept uncrated freight (loose, pad-wrapped material and/or unskidded machinery), COD shipments, hazardous materials, freight requiring refrigerated or frozen storage, a single piece of freight weighing more than 5,000 pounds or a single piece of freight beyond the dimensions of 108"H x 93"W.
      • Warehouse materials are accepted at the warehouse Monday through Friday between the hours of 8:00 AM - 2:30 PM.

        Please note: Any materials received by Freeman are subject to Material Handling Charges and are the responsibility of the Exhibitor. This also applies to items not ordered through the Official Show Vendors. Refer to the material handling form for charges for the service.
        Please be aware that disposal of exhibit properties is not included as part of your material handling charges. Please contact Freeman for your quoted rates and rules applicable to disposal of your exhibit properties.

What to do and when to do it

Click the appropriate links under the "Contractor Type" to be redirected to the forms and/or contractor website for more information.  Double-check the dates for these services by going to the forms in this manual. Show Management will not be held accountable for any misprints to any of the dates that are listed below. The responsibility lies with the exhibitor.

Note the DEADLINE DATES - completing these early can save you up to 30%

FREEMAN is the Official General Contractor of NYCC and will maintain an Exhibitor Service Center during set-up, show days and dismantling.  All other official show contractors will also be set up in this area as well.  All inquiries regarding booth services and orders should be made at the Exhibitor Service Center, including booth furnishings, labor, freight, utilities, and special show services.

NOTICE TO EXHIBITORS REGARDING NON-OFFICIAL CONTRACTORS

The companies listed below have been appointed as the only Official Contractors providing the stated services for this event.  Show Management carefully considers the selection of Official Contractors based on quality of service, variety of products, price, and reputation. Since these contractors frequently work on more than one show with us, they value the business of our customers and provide quality products and services.

Some companies may misrepresent themselves as being an official contractor so PLEASE be sure to check the list in the exhibitor manual or give us a call.  

Things to watch for if you are considering the services of a non-official contractor are hidden charges for material handling, labor, and shipping that you might not pay otherwise (for example on carpet rental), control over delivery time, availability during move-in and leverage if something goes wrong.  

Also be advised that non-official contractors will need to abide by the Exhibitor Appointed Contractor procedures, provide insurance certificates, etc. in order to gain access to the Show Floor.

BEWARE OF THE FAIR GUIDE

Reed Exhibitions and New York Comic Con do NOT support the Fair Guide — it is NOT affiliated with Reed Exhibitions or New York Comic Con. Please be aware that you may receive solicitations for the Fair Guide from Construct Data, its publisher, which use the name of New York Comic Con – do not be fooled. Construct Data currently operates out of Slovakia (it has previously operated out of Austria and Germany).

Reed Exhibitions and New York Comic Con also do NOT support the Expo-Guide — it is NOT affiliated with Reed Exhibitions or New York Comic Con. Please be aware that you may receive solicitations for the Expo-Guide from Commercial Online Manuals, its publisher, which use the name of New York Comic Con – again, do not be fooled. The Expo-Guide currently operates out of Mexico.
