Panel Room Setup

All Panel Rooms will be set up with theater style seating and equipped with projectors unless otherwise noted. Laptops for presentations are not provided, you must bring your own.

PLEASE NOTE: This year, NYCC will be utilizing the new Javits Center Expansion for select panel rooms and theaters. Room capacities are estimates and subject to change. If you have any questions about tech, please contact [email protected].

Presentation Guidelines:  Computer inputs are available on stage and at tech table for PowerPoint or Keynote presentations. NYCC will provide a PC laptop located at the tech table with an AV technician. Computer inputs are available if you bring your own computer, do not forget any display adaptors you may need. Presentations should be created is a 16:9 aspect ratio and preferred output resolution is 1920x1080. It is also recommended that if the panel has multiple presentations that they are combined onto one computer for the session.

Media assets should be delivered to Freeman 24 hours prior to presentation

Speaker Badges

Registration is closed. Please email [email protected] with any questions regarding badges.

Speaker / Panelist Badge pick up will be at Will Call & Registration located at the Blue Entrance, on Level 3, in the Crystal Palace.

General Information

Arrival and Setup

Please arrive to your Panel Room at least 10 minutes in advance of your scheduled start time. NYCC allots 15-30 minute breaks in between each Panel. As soon as the Panel before yours has concluded, you may begin setting up for your own panel. If you require help setting up your laptop or with any tech, please let a Crew or Staff member know and we’ll be happy to get you the assistance that you require.

Tech Checks

The 15-30 minute breaks that we have scheduled before all Panels should provide ample time to set up your equipment and start your Panel on time. If you feel like you need more time to test your presentation, we have limited availability to schedule tech checks before the show begins. If you would like to schedule a tech check, please contact the NYCC Content Team at [email protected] 

Livestream/Recording

By operating your panel at NYCC you agree and acknowledge that ReedPop may (a) livestream your panel in its entirety; (b) record your panel and distribute recordings exclusively to certain tiers of NYCC “digital ticket” holders and/or members of the ReedPop “Find the Metaverse” subscription platform; (c) use recordings of your panel for advertising and promotion of NYCC; and (d) provide footage from your panel to third party media in order to increase coverage of NYCC. These rights shall be governed by the Terms & Conditions located here and incorporated herein by reference. You represent to ReedPop that you are authorized to accept these Terms and that these Terms shall govern your panel at NYCC.
